Know what your workspace receives

Before connecting your phone, ask your administrator which SIM is tracked, which date tracking starts from, whether recordings upload and whether contact names, notes and labels sync.

Eligible work-call details can include the caller number, call type, time, duration and the employee attached to the call. Uploaded recordings can be played in the workspace. If AI analysis is enabled, analysis from that audio may also be available.

Keep work and personal calls separate

  • On a dual-SIM phone, select the agreed work SIM when your administrator allows this setting.
  • Agree on the tracking start date before uploading earlier call history.
  • Add personal numbers to Personal call exclusions before the first business sync.
  • If your administrator manages or locks a setting, ask them to confirm the boundary for your phone.

Exclude a personal number

  1. Open CallSync → Settings → Business sync settings → Personal call exclusions.
  2. Add the personal number, including its country code. This option requires Exclude personal contacts to be allowed for you.
  3. Keep the phone online and sync so the rules can take effect.
  4. Ask your administrator to confirm a test call to the excluded number does not appear in the workspace.

Do not track and Archive do different jobs

ChoiceFuture callsHistory already uploaded
Do not track callsExcluded from future workspace tracking once the rule is applied.Existing logs and recordings stay until explicitly erased.
Archive contactTracking continues. The contact is hidden from default views.History remains available using the Archived contacts filter in Calls or Contacts.
Erase existing historyDoes not replace an exclusion rule. Keep the number untracked to prevent future collection.Permanently removes the stored history covered by the erase action. Review its scope before confirming.

What the workspace owner can do

Open Manage → Excluded numbers → Exclude a number. This workspace rule applies across the team.

If personal calls were uploaded earlier, adding an exclusion does not automatically remove them. Erase existing history is a separate permanent action. On Excluded numbers, it covers the history of all currently untracked numbers—check the full list first.

Which settings employees can change

The administrator controls the available options per person in Team → Manage person → Employee permissions. These include pausing tracking, choosing the SIM, changing the start date, excluding personal contacts, changing the recording folder and showing the disconnect option.

A setting can be managed or locked by the organisation. Show the employee their actual configuration, rather than assuming every control is available. Changes reach the phone when it syncs.

If a personal call has already been shared

Tell your administrator which number should be excluded. Adding an exclusion prevents future tracking after it takes effect, but does not automatically delete previously uploaded history.

Ask the workspace owner to review the existing logs and recordings separately. An erase action is permanent and can cover multiple excluded numbers, so the owner should confirm its full scope first.

If you want to pause tracking or disconnect, review the controls available in Business sync settings. These options depend on permissions set by your administrator. Do not assume a locked option is available.
